The previous article in this series looked at how DocFLO transforms construction operations at the project level. A typical day, before and after

Before

The site engineer arrives in the morning with three things to check: which drawings the carpenters are working off, whether the soil test report for the new excavation came in, and whether the safety induction for the new subcontractor crew was completed. After

The same engineer pulls out a tablet, opens DocFLO, sees that drawings are on revision C (with revision B archived but still visible if needed), confirms the soil report was uploaded yesterday and routed for QS review, and verifies the induction record with attached photo evidence. The workflows that change daily operations

Drawing distribution

When the consultant issues a new drawing revision, DocFLO pushes it to every stakeholder who needs it, archives the previous revision, and tracks acknowledgement. Working from outdated drawings the single most common cause of avoidable rework stops happening.

RFI and clarification flow

Site engineers raise an RFI in the platform, attach photographs and sketches, and route it to the consultant. The consultant's response is logged against the RFI, visible to everyone, and the trail is complete.

Deliveries are captured at the gate with photos, packing lists and inspection sign-offs. The QS team sees what arrived when, and whether it was accepted, without leaving their desk.

What changes isn't just the paperwork. What changes is how quickly the site can answer the simple questions that used to take half a day.

Compliance, almost as a side effect

Construction is one of the most regulated and audited industries. When document management is done well, compliance stops being a separate workstream and becomes a side effect of normal operations:

  • Every safety induction is logged the moment it happens.

  • Every permit-to-work is filed automatically with its supporting documents.

  • Every test report and inspection record is indexed against the relevant work package.

  • Every drawing acknowledgement is recorded against the recipient.

When the auditor or client representative arrives, the answers are already there.
